About

UoM Sport offer a range of services in relation to the participation in sport and physical activity, events, memberships and services.

Our terms are provided to give clarity to our customers and when engaging in a service, it will be made clear on what terms our services are being offered on.

Terms & Conditions
UoM Sport Terms & Conditions apply to all bookings at all times; this document contains terms & conditions for any bookings made via the Online Booking Service.

These Terms and Conditions are subject to change;
Gym and Fitness Class Bookings
a. Members may only attend gym session a class if they have booked a space. Capacity in the gym and in all classes are limited and holding a membership does not offer a guaranteed place on any class.
b. Bookings made through the Online Booking Service are subject to the following restrictions:
i. A maximum of 4 bookings paid for in any one transaction
ii. A maximum of 2 bookings taking place on any one day
iii. A maximum of 16 bookings across any 8 day period.
c. Gold Members may only attend gym sessions & classes in which they have pre-booked a space.
d. Members should arrive for all gym sessions & classes no earlier than 5 minutes prior the published start time. Late entry to a class may result in the refusal of admission by the instructor for health & safety reasons.
e. Members must “check in” for their fitness session on arrival at the Armitage Sports Centre via the self-service kiosk located in reception or at the reception desk itself. Upon checking in, the member will be issued with a ticket which they must take with them to the fitness class and present to the instructor or member of UoM Sport staff when requested to do so.
f. Failure to attend or “check in” to a class that has been booked will result in a non-attendance strike on the member’s profile. Once 3 strikes are accumulated a fine may be issued for non-attendance.
g. If a class has to be cancelled or changed you will be notified ASAP using the contact details held in your membership profile. It is your responsibility to keep your contact details up to date.

Facility Hire / Activity Bookings
a. Members must only book activities and classes in which they themselves will be participating.
b. Bookings made through the Online Booking Service are subject to the following restrictions:
i. A maximum of 4 bookings paid for in any one transaction
ii. A maximum of 2 bookings taking place on any one day
iii. A maximum of 16 bookings across any 8 day period.
c. Payment is required at the time of booking for all activities and classes (where applicable, depending on membership).
d. Members must check in at the kiosk in reception prior to their activity booking to confirm their attendance and space allocation.

 Physio Session Booking information
a. All bookings need to be made through the online booking system.
b. If you are a new patient and haven’t got an Armitage Membership Number you will need to email armitage.bookings@manchester.ac.uk to get one setup (please allow a few days for a response).
c. Please note that all bookings will close at 5pm the day before and refunds will not be given if your appt is not fulfilled (unless for unforeseen circumstances)

Cancellations
a. No refunds are available through the Online Booking Service. If an activity booking or class enrolment needs to be moved or cancelled this must be done by visiting the Armitage Sports Centre reception in person or phoning 0161 529 4444.
b. UoM Sport Management reserves the right to cancel or postpone any booking for repairs/maintenance, events, or similar such instances, given a reasonable notice period. Any such cancellation would receive a full refund of all payments.
c. UoM Sport Management reserves the right to cancel a booking with immediate effect if the booking is posing a risk to health and safety of the member, the facility or others. Any such cancellation would not be eligible for a refund.

Responsibility of the Hirer for Good order and safety
a. The member shall ensure that activities are conducted in a manner that complies with all legislation, customer code of conduct and general regulations of the facility being used.
b. The member shall ensure all users within the member’s party or group comply with the same conditions that apply to the member. The member shall be liable for any breach thereof as if such breach had been committed by the member.

Breach of Regulations
a. Any member who is deemed by UoM Sport to be offering a structured supervised session, part of a business undertaking (including self-employed enterprise), a session held under an affiliation to a governing body or club, or anything other than a casual sport or activity booking for personal use, is in breach of the Online Booking Service Terms & Conditions.
b. Any such breach of regulations will result in immediate cancellation of the booking without refund. Should UoM Sport deem it appropriate, for example after repeated breaches, all bookings made by the member, and any associates, may be cancelled without refund and the member’s profile may be suspended until such time as UoM Sport deem otherwise.
c. If any booking or enrolment is cancelled by UoM Sport as a result of a breach of any conditions (as to which the decision of the centre shall be final) the member shall remain liable for all charges associated with the booking.

 

Fitness Memberships

MEMBERSHIP AGREEMENT BETWEEN A MEMBER AND UNIVERSITY OF MANCHESTER SPORT

Membership
Your Choice of membership will determine the fees you pay.
Membership is for the complete duration of the membership type and no refund, suspension or delay will be made save where illness or injury prevents use and this is verified by a medical certificate. New memberships will commence on the date of purchase. We may terminate your membership immediately if:
– you commit a serious or repeated breach of these or any other supporting terms and conditions
– your behaviour or conduct is reasonably deemed to be improper or likely to endanger the welfare or safety of the facilities, staff or other customers or visitors
– you provide false or misleading details when applying for membership
– you misuse your membership card (including allowing someone else to use your card to gain entry)
If your membership is terminated for any of the above reasons, no refund will be given for the expired portion of the membership or for any joining fee paid.
Membership Card
University of Manchester students and staff will use their existing university card to access the facilities and products. Public and all non-University of Manchester will be issued with a Purple UOM Sport membership card which is personal to you.
You agree to a digital photograph of yourself being taken by the Centre for the purpose of identification. Your membership card must be used when purchasing products, activities or accessing the facilities.
Any loss of your card should be reported immediately. If you lose your UOM student/staff card, you must seek a replacement from student services. A charge of £5.00 will be made for a replacement UOM Sport card.
Entry & Exit
All members must adhere to the health and safety and security measures put in to place in and around the centre.
Entry into the facilities is only permitted by booking your gym session in advance and checking in for your session on arrival at the centre.
Once checked in, activation of turnstiles and secure doors (where present) by use of a member’s card. Members are able to access the gym facilities through both downstairs and upstairs entrance doors.
Emergency exits, which are clearly marked, are there in the interests of safety and members must not interfere with them for any reason.
Any member found to be securing non-permitted admission to the facilities for a non-member will have his/her membership terminated with immediate effect and no refund will be given for the unexpired portion of the membership.

Facilities
Details of facility opening hours and charges are displayed in the facilities and are also available on our website.
When it is necessary for the facilities to change or restrict opening hours or availability (for example for maintenance or refurbishment), notices will be displayed reasonably in advance. In all locations, relevant information for the use of the facilities will be displayed and you agreed to abide by these conditions at all times.
Accidents
Any accident or injury you may have at any of the facilities must be reported as soon as possible to a member of staff.
Valuables & liability
Limited use Lockers are provided for the storage of personal items however we advise you not to bring valuables to any of the facilities. UOM Sport will not be liable to you (except to the extent that it is negligent or in breach of any legal duty) for:-
– any loss or damage to possessions not locked into one of the lockers provided
– the criminal acts of any person on the premises such as theft from lockers or vehicles
– loss or damage caused through misuse of stolen items
– damage to or loss of or from vehicles or bicycles left on any part of the facilities
Please note. To use the lockers in reception, you will incur a 20p charge for which you will not be refunded. The lockers only take a 20 pence coin. As the centre now operates a cashless system, no change can be given.
Member details
It is your responsibility to keep the facility staff up to date with any changes to your contact and personal details.
Use of facilities
Your use of any of the equipment or facilities is entirely at your own risk, except to the extent that there is any negligence or breach of legal duty by the facility or its staff. An induction is available for those members who request it on joining the Armitage Sports Centre Fitness Suite. You must not use any equipment or undertake any activity unless you are satisfied that you are competent to do so safely and properly. You are under a duty to safeguard your own health and safety and that of others whilst using the equipment and facilities. You will be responsible for any harm or injury that you cause to yourself or another person or to the facility to the extent that it is caused through your improper unsafe use of the equipment or facilities. UOM Sport will not be liable for any loss, harm or injury to you to the extent that this is caused by your unsafe or improper use of the equipment or facilities or you failing to advise staff of a medical condition relevant to such use.

Rules
Members must comply and adhere with the rules of the facility which they are using and additional safety measure that are in place. These will be displayed around the facility and further information is availale on request.
Armitage Sports Centre Fitness Suite Rules
Personal Belongings:
Bags, coats etc. are not permitted in the fitness suite and activity areas.
Dress Code:
Appropriate clothing should be worn for the activity undertaken and should be shorts, training pants, t-shirt, vest or similar. Appropriate footwear must also be worn and should be trainers, running shoes with adequate support. Training in Sandals, Flip Flops, socks and barefoot is prohibited. We advise that you come gym / activity ready.
Safety & Hygiene:
In the interests of safety and hygiene no cups (or open containers), glasses, glass bottles, food or alcohol are permitted in the fitness suite and activity areas. You must also bring your own drinks vessel. Water dispensers are provided in the downstairs vending area.
Behaviour:
We have a zero tolerance policy to the abuse of our staff or other users, misusing the facilities or generally behaving inappropriately, we reserve the right, acting reasonably, to refuse admission or suspend or terminate membership.
Mobile Phones and other personal devices:
You are advised to be courteous to other members therefore we ask that the use of mobile phones and personal devices that play sound be kept at a respectful level of volume so not to disturb anyone else.

Health Commitment Statement
Your health is your responsibility. The management and staff of this organisation are dedicated to helping you take every opportunity to enjoy our facilities that we offer. With this in mind, we have carefully considered what we can reasonably expect of each other.
UOM Sport’s commitment to you:
– We will respect your personal decisions and allow you to make your own decisions about what exercise you can carry out. However, we ask you not to exercise beyond what you consider to be your own abilities.
– We will make every reasonable effort to make sure that our equipment and facilities are in a safe condition for you to use and enjoy.
– We will take all reasonable steps to ensure that our staff are qualified to the fitness industry standards as set out by the Register of Exercise Professionals.
– If you tell us that you have a disability which limits access to our equipment and facilities, we will consider what adjustments, if any, are reasonable for us to make.
Your commitment to UOM Sport:
– You should not exercise beyond your own abilities. If you know or are concerned that you have a medical condition which might interfere with you exercising safely, before you use our equipment or facilities you should get advice from a relevant medical professional and follow that advice.
– You should make yourself aware of any rules and instructions, including warning notices, and follow them. Exercise carries its own risks. You should not carry out any activities which you have been told are not suitable for you.
– You should let us know immediately if you feel ill when using our equipment or facilities. Our staff members are not qualified doctors, but there will be a first aid trained member of staff available.
– If you have a disability, you must follow any reasonable instructions to allow you to exercise safely.
This Health Commitment Statement is for guidance only and is not a legally binding agreement between you and us and does not create any obligations which you or we must meet.

The University of Manchester collects and maintains your personal data to process your application and provide facilities as a member of Fitness Suite. As the data controller, we are committed to process it in accordance with your rights and the Data Protection Act 1998. We will not use this information for any purposes other than customer care, contacting you with sports related information, special offers or conducting our own market research. If you provide sensitive personal data, i.e. a disability, this will be protected and only disclosed to individuals who have a need to know in order to perform their duties, i.e. a personal trainer. We will not disclose your personal data to unauthorised third parties. We will hold your personal data for the duration of your membership. If you cancel your membership we will retain details of your membership for a period of six years plus the current year.

 

Block Bookings & Events

University of Manchester Sport – Bookings Team
Facility Hire Terms & Conditions
University of Manchester Terms & Conditions apply to all bookings at all times; these facility specific terms are designed to complement and not supersede the main terms.

1. Facility Hire
a. Applications for facility hire including special requirements/equipment must be submitted to UoM Sport via an approved booking form; facilities are not booked until written or electronic confirmation has been received from the bookings team and a deposit (if applicable) paid as laid out in Section 2.
b. All required dates must be made in writing on the application form, and for block bookings any dates to be excluded from the booking must be made clear. If dates to be excluded are not stated on booking form the hirer will be booked for all dates within the period specified and the hirer will remain liable for all charges levied during that period.
c. There shall be no subletting of the hired facilities by the hirer.
d. The facilities must not be used for a period longer than the confirmed booking period unless otherwise agreed with the centre. If found to be in contravention of this regulation, the hirer will be charged the standard hire rate for that facility for the excess period of hire.
2. Charges
a. For one-off sport bookings or block bookings of less than 10 session, payment in full must be made at time of booking request. Bookings paid in advance are not eligible for a refund if a cancellation is made or in the event of a no-show; the full price will be payable by the hirer and no refund will be given, unless otherwise agreed in writing by the centre.
b. For Block Bookings of 10 sessions or more the payment must be made as follows:
i. Monthly invoice at the start of the month for all bookings within that calendar month
ii. Any additional bookings made during the calendar month will be added to the next month’s invoice or can be invoiced separately at time of booking.
iii. All booking charges for facility hire must be paid within 14 calendar days of receiving an invoice.
Cancellations made by giving written notice 7 days or more prior to the booking will not be chargeable subject to a minimum of 10 sessions remaining after cancellation has been made. Sessions cancelled less than 7 days prior to the booking are not eligible for a refund; the full price will be payable by the hirer and no refund will be given, unless otherwise agreed in writing by the centre.
c. For any other bookings including event bookings, a deposit (which is non-returnable in the event of non-attendance, or cancellation or other non-performance or default by the Hirer) is payable, equal to the value of 20% of the total cost of the booking. If a Contract is received without a Deposit, the Hirer shall have only a provisional booking, and until the Deposit is accepted by the University, the University shall be entitled to cancel the booking without liability.
d. Event bookings will be charged using the following payment schedule, unless otherwise agreed in writing at the time of booking and in addition to the Deposit, accounts must be settled as follows:
i. 3 (three) months prior to the event on receipt of an invoice; 30% of the total booking cost.
ii. 1 (one) month prior to the event on receipt of an invoice; 20% of the total booking cost.
iii. After the event on receipt of an invoice; final payment of the outstanding monies.
3. Cancellations
a. UoM Sport Management reserves the right to cancel or postpone any booking for repairs/maintenance, events, or similar such instances, given a reasonable notice period. Any such cancellation would receive a full refund of all advance payments.
b. UoM Sport Management reserves the right to cancel a booking with immediate effect if the booking is posing a risk to health and safety of themselves, the facility and others. No refunds of advance payment will be eligible for this immediate cancellation.

c. No Contract shall be deemed cancelled without the written agreement of the University and the Hirer and upon the payment to the University of the following cancellation charges:

More than 3 months before 50%
More than 1 month before 75%
Less than 1 month before 90%

4. Responsibility of the Hirer for Good order and safety
a. The hirer shall ensure that activities are conducted in a manner that complies with all legislation, customer code of conduct and general regulations of the facilities. The hirer shall be liable for any breach thereof as if such breach had been committed by the hirer.
b. The hirer shall ensure all users within the hirers booking, party, club, group or membership comply with the same conditions that apply to the hirer as stated previously.
c. The hirer shall employ a sufficient number of stewards or coaches as required by UoM Sport to maintain good order during the hire and shall expel any person acting in a disorderly manner, or disobeying the instructions of a member of staff.
d. Where the stewards or coaches require specific qualifications, it is the responsibility of the hirer to provide the relevant documentation/copies of certificates at the time of booking.
e. Equipment should only be used for the correct purpose intended and not altered by the hirer or any of their associates or invited members. Any required changes to equipment or layout must firstly be communicated to the Duty Manager. The Duty Manager must oversee and authorise these changes.
f. Seating must not be rearranged or added to, and all doors, entrances, corridors and exits must be kept clear and ready for use in the event of an emergency. It is the responsibility of the hirer to inform guests of the location of emergency exits and procedure in the event of a fire or other emergency, details of which can be obtained from the Duty Manager.
g. The hirer should ensure they are familiar with the emergency exits and procedures in case of fire or other emergency prior to commencement of activities.
h. The hirer should make a safety announcement before each session, informing members of the session of the whereabouts of the emergency exits and evacuation meeting points.
i. The hirer should not use the building or facilities for any purpose other than that it was intended for. UoM do not guarantee the area of the facility hired is always suitable for the purpose for which it is let and shall not be liable for any damages whatsoever in the event of the facilities being unsuitable or inadequate.
j. The Sport Centre Supervisor and staff shall at all times during the hiring have free egress from the hire premises and instructions must be given by the hirer to permit his/her admission.
k. The hirer shall ensure that a person with appropriate first aid skills is present at the centre during the period of hire.
5. Indemnity
a. All hirers who are deemed by facility management to be offering a structured supervised session, part of a business undertaking (including self-employed enterprise), or are under an affiliation to a governing body or club should indemnify UoM against any claim for loss or damage, death or personal injury arising from the hirers or hirers members negligent or wilful misuses of premises, including any damage, however caused, by the hirer of the premises.
b. The above indemnity must be covered by public liability insurance. It will be necessary to produce documentary evidence of the cover affected when returning the booking form.
6. Breach of Regulations
a. If any booking period or period of hire is cancelled or terminated by the manager, as a result of a breach of any conditions (as to which the decision of the centre shall be final) the hirer shall remain liable for the charges due to that time, but without prejudice to any claim which the centre may have against hire arising out of such breach or otherwise.
